Shopify → KeyCRM Prepayment Sync
For Shopify stores that sell with cash on delivery and a prepayment and manage orders in KeyCRM. When imported from Shopify, such an order arrives in KeyCRM as fully paid, although the customer has only paid the prepayment. The app cancels the full-amount payment in KeyCRM and records a payment for the prepayment amount. Managers do not need to fix anything by hand.
- KeyCRM shows the actual prepayment, not the full order total
- The balance due on delivery is calculated correctly
- Set up in 1–3 business days, 8,800 UAH
Included: installation, configuration for your payment method and KeyCRM, a test on a real order, instructions, and one year of support.
From year two, maintenance costs 3,600 UAH per year.

Shopify → KeyCRM Prepayment Sync corrects the payment amount in KeyCRM for cash-on-delivery orders with a partial prepayment. Setup costs 8,800 UAH; maintenance from year two is 3,600 UAH per year.
The customer pays a prepayment, for example 200 UAH, and pays the rest on delivery. After the order is imported from Shopify, KeyCRM marks it as paid in full. The app cancels that payment and creates a payment for 200 UAH.
- When it runs: after the prepayment is paid in Shopify, 10 minutes later, once the order is in KeyCRM
- How it finds the order: by the Shopify order number and the order source in KeyCRM
- What it records: a payment for the prepayment amount with the status “paid” and the Shopify transaction ID
- Duplicates: a second payment for the same transaction is never created
- Requirements: Shopify on any plan, KeyCRM importing orders from Shopify, a KeyCRM API key
- Timeline: 1–3 business days
- Not taking prepayments yet? Use plata by mono or NovaPay
without the app and with it
KeyCRM does not tell a full payment from a prepayment: it records any successful Shopify payment against the full order total. Here is how work changes with the app.
| item | without the app | with the app |
|---|---|---|
Payment amount in KeyCRM |
full order total | prepayment amount |
Balance due on delivery |
zero in the CRM | order total minus prepayment |
Manager’s work |
open the order, cancel the payment, add the prepayment | nothing to do |
Reconciliation with Shopify |
manually, by order number | Shopify transaction ID is in the payment |
Typical mistakes |
forgot to fix it, entered it twice, wrong amount | no duplicate payments |
Result |
CRM payments do not match the money in the account | CRM payments match the money in the account |
what the store gets
how it works
the customer pays a prepayment
The customer places an order with cash on delivery and pays the prepayment. Shopify sends the payment details to the app.
the app checks the payment
The app processes the order if it has one successful prepayment through your payment method. It then waits 10 minutes for the order to reach KeyCRM.
KeyCRM gets the right amount
The app finds the order in KeyCRM, cancels the full-amount payment and creates a payment for the prepayment amount with the Shopify transaction ID.

FAQ
When an order is imported from Shopify, KeyCRM sees a successful payment and marks the full order total as paid. It does not take into account that this was only a prepayment.
It cancels the full-amount payment and creates a payment for the prepayment amount with the status “paid”. The payment description contains the Shopify transaction ID. Products, customer, delivery and order status stay the same.
An order does not appear in KeyCRM immediately after checkout in Shopify. Within 10 minutes it is imported, and the app finds it on the first try. Cash-on-delivery orders are rarely shipped in the first minutes, so the delay does not affect the warehouse.
No. Before creating a payment, the app checks whether the order already has a payment with the same Shopify transaction ID. If it does, no new payment is created.
Orders without a prepayment, orders with two or more prepayments, and orders with several matches in KeyCRM. A manager reviews those.
